Fire safety defects managed through to evidence-based close-out

Finding a defect is the start. FPS connects the field observation, technical review, quotation, rectification and close-out evidence in one controlled process.

The problem

Defects need visibility, ownership and action

Defects stay open when the information is scattered across service reports, emails, quotations and different contractors' systems. FPS records each one against the building, system and asset in Uptick, so you can see where it stands at any time.

For every defect you can see

  • What was found and where
  • Which system or measure is affected
  • Its classification
  • The recommended action
  • Whether a quote has been issued and who approves it
  • Whether the work is complete
  • What retesting or evidence is outstanding
Process

How a defect is closed

  1. Identify and document

Recorded against the building, system and asset, with photographs.

  2. Technical review

The issue is reviewed to confirm its nature and whether more investigation is needed.

  3. Prioritise and communicate

You get enough information to understand the issue, its significance and the recommended response.

  4. Quote and approve

Minor items can be approved against an agreed schedule of rates. Larger works get a proposal with photos and priority.

  5. Rectify

Approved work is scheduled and completed by appropriately qualified people.

  6. Retest and close

Affected systems are retested where applicable. Close-out evidence is kept, so status rests on evidence, not an invoice or a verbal confirmation.

Portfolios

Defect data that informs decisions

Across a portfolio, consolidated defect reporting turns isolated service comments into management information for budgeting, capital planning and contractor oversight.

Patterns we help you see

  • Recurring defects and repeated failures
  • Ageing assets nearing replacement
  • Buildings with growing rectification needs
  • Outstanding quotations and approved works
  • Likely capital expenditure
  • Items affecting upcoming assessment dates
